Records
A record is one item in a database for example in a music collection database a record could be a musician’s album. It might include the album name, musicians or groups name, the format e.g. cd, digital, or vinyl, a genre for the album, the distributor and other information.

What sort of things might an Address Book database include?

Making information useful
If the details of the album are divided up into categories, the records in the database can be sort and re-organised according to the category (also called a field). An example of a category is genre. If the records can be organised by genre. This might be useful if someone want to see the blues music in the database.

Go to this link https://en.wikipedia.org/wiki/Airtable and find out about the Airtable database. In Airtable a ‘base’ means database, Airtable is an online database and its basic features can be used for free.

These categories can be different types of information such as text, attachment, checkbox, select, date and time, phone number, email, URL, number, currency, percent, autonumber or formulas.
Let’s say I had this data to put into a database:
Record Number: 1
Album name: Masterpieces
Musician: Bob Dylan
Genre: Folk
Format: CD
Manufacturer: Columbia
Special info: 3 CD set of greatest hits
Release date: March 12, 1978
(This would be one record of a database)

Make your Albums and Genre table

1. For the Album table add the fields, making sure the field type is what you need for example Primary field - autonumber, Album Name - single line text, Musician - single line text, Genre - single line text, Format - single line text, Special Info - long text, Release date - date and time (no time selected).
2. The Genre table can have one field for the genres e.g. Rock, Blues etc. Field type single line text
​3. Add a record to the Albums table.

Linking to another database

Using the other table for the database called Genre, field type short text. The contents of the table should be: ‘Folk’, ‘Rock’, ‘Blues’, ‘Country’ and ‘Classical’ and other genres.

What other fields might you include?
A bar code might be one. A bar code is used to uniquely identify a product. If you want to order a product giving the bar code ensures you get the exact product you want and not something similar.

Now, you can design a database for your own use. The database could be for personal use such as an address book or for something that would be useful at school like a study group, or keeping track of homework and other school commitments.
It’s important to plan your database carefully. Use this planning template. Make a copy and move it to your Google Drive folder.
